    It is good to be consistent with the same order of business from meeting to meeting.  Hand out hard copies to each person in attendance, and post your agenda prior to the meeting at school or on the web site.

    A typical order of business for a parent group meeting:



    1. Welcome

    2. Approval of minutes (from last meeting)

    3. President’s report

    4. Treasurer’s report

    5. Band Director’s report

    6. Committee reports

    7. Unfinished business (something tabled from the last meeting)

    8. New business

    9. Announcements/ Upcoming Events (including date and time of the next meeting)

    10. Adjournment


    Here are a few key tips to keep your meeting moving smoothly:


    It is very helpful to always start on time and keep each meeting no longer than an hour.  This will help insure attendance at future meetings if parents understand the time involved is limited, and you are honoring their very busy lives.


    Keep in mind this is the time to discuss major questions.  Honor everyone’s time, by letting committe’s manage the smaller details.  It is helpful to keep things focused and ask the speaker to keep on the current topic.  When discussions seem to be going no where, summarize the main points and ask if there is any new information to share.  Robert’s Rules of Order are intended to be a guideline to keep your meeting organized and flowing.
